How to Create a Content Calendar That Actually Gets Used

Practical tips for building a Notion content calendar that your team will adopt, not abandon.

Most content calendars fail because they’re too complicated. I’ve seen teams spend hours setting up tags, statuses, and custom fields — then never update them. The key is to start simple and iterate.

In Notion, create a database with just four properties: Title, Status (Draft, In Review, Scheduled, Published), Publish Date, and Keyword. That’s it. Add a calendar view and a board view. Now you can drag and drop posts between statuses and see your publishing schedule at a glance.

Once the team is using it, you can add more properties: Author, Content Type (blog, video, social), and a relation to your keyword database. But only add what you actually use. If you never filter by author, don’t add the field.
