Behind the Scenes: Why I Switched from Spreadsheets to Notion for SEO

The messy reality of managing SEO data in spreadsheets and how Notion changed my workflow.

For years, I used Google Sheets for everything: keyword lists, content calendars, competitor tracking. It worked, but it was fragile. One broken formula, and the whole sheet would lag. Sharing with clients meant exporting to PDF or giving view-only access — clunky.

I moved to Notion after a particularly painful experience: a client asked for a real-time view of their keyword rankings during a call. I had to screen-share a spreadsheet that was loading slowly. Embarrassing. That night, I built a Notion database with the same data, added rollups and relations, and it worked instantly.

Now I use Notion for all my SEO projects. The killer feature is the ability to create linked databases. My keyword database is linked to my content database, which is linked to my competitor database. I can filter, sort, and view from any angle. No more multiple sheets. No more broken formulas.
